Self guided tours terms & conditions
The information below details the general terms and conditions applied to our self guided tours. If you have any questions, please ask.
When you collect your bike you must bring along your motorcycle license and your credit card. If you are from overseas you’ll also need your passport, your motorcycle riders license from your home country or your international motorcycle riders permit if your license is not in English.
› Most tours include the motorcycle of your choice, accommodation in 3.5 to 4 star hotels/motels/bed and breakfast establishements, a detailed itinerary document and maps to take you from one overnight stop to the next. The ‘what’s included’ section of the tour you are interested in will have specific details.
Excluded from all prices given (unless stated specifically) are:
› Personal travel insurance
› Flights
› Visas [if applicable]
› Pre and post tour accommodation [we can assist with arranging this if required]
› Single room supplements
› Fuel
› Oil
› Any additional request items [eg. luggage carriers and protective clothing]
› Food and drink
› Souvenirs
A detailed confirmation will be provided shortly after your booking that details the costs and timescales for payments. At the time of booking a nonrefundable 20% reservation deposit will be processed. This reserves the motorcycle for the dates of your tour and enables us to start the booking process.
The remainder is due 1 month prior to the tour start date and will be processed using the credit card details you gave us when booking. By booking you are authorizing us to process the final payment without further contact prior to the tour. Just ask if you'd like to use a different card. This is processed manually so don't worry if it's not exactly one month from the start date as weekends etc. can mean a short delay.
We are pleased to arrange ferries and excursions such as Great Barrier Reef and Whitsunday Island cruises. Where the costs of these are payable upon booking we will inform you and process this when we book them on your behalf. Ferries are normally nonrefundable items due to the policies of the operators.
› // COVID-19 cancellation policy - RISK FREE BOOKING:
There will no longer be cancellation fees for bookings placed after 20th May 2020 for rentals or tours if you can’t collect in your chosen city due to COVID-19 government restrictions. Your deposit will be refunded less a booking fee of AU$45 for rentals and AU$150 for Self-Guided Tours due to the work involved in processing the bookings. Alternatively you can use the whole amount against a future booking within 18 months of the original start date.
Cancellations outside these timescales or for other reasons will be subject to the usual terms. Please note that the COVID policy applies if you can’t collect from your chosen city either due to your home address being restricted or the collection city . If your hoped for route isn’t available then an alternative may need to be planned (we’d be pleased to help) but it’s whether you can collect from your chosen city that is the important thing.
We’ll be helpful where possible but we’d ask you to please remember that we are promising to hold a bike for you and so can’t offer it to others whilst your booking is allocated.
Cancellations must be in writing and the onus is upon you to inform us. A cancellation 31 days or more from the tour start date will mean a cancellation fee of the tour deposit. A cancellation 30 days or less from the start date of the tour will mean a cancellation fee of the full amount of the tour.
It's vital you take out good travel insurance to cover you in the event of a cancellation. You can see an option for travel insurance by clicking here. We will be pleased to provide invoices for cancellations so that you can pass them on to your insurance company for a claim.
Security bond amounts vary depending on the bike you rent. The amount is listed next to the bike on the rental page for the relevant city. Bonds are processed on a credit card and refunded upon safe return of the bike undamaged. In the event of damage the depot/contractor may process the cost of repairs up to the value of the insurance excess detailed on the rental pages of the web site.
We are not responsible for exchange rate fluctuations or other fees your bank may charge when refunding the bond. Note that if your trip is a one way journey from one city to another it can take a few days after drop off before the bond is refunded. If you are from overseas it usually takes a few more days for the banks to return it to your account. It is your bank that dictates the length of time this takes not the refunding bank.
› Breakdowns, natural occurrences and accommodation:
The nature of mechanical things means that while breakdowns are very rare, they can occur. Here’s our pledge explaining the level of service you can expect if the worst happens…
You must always first call the emergency number before arranging anything yourself. You may incur additional charges for towing or repairs without prior authorisation.
We will arrange for our National Breakdown Cover to visit and assess the situation. If a repair can’t be made they will take you and the bike to a service centre. If the bike still can’t be fixed, then we will do our best to deliver a replacement bike of the same standard or higher. We will refund the days you cannot use the bike. If the replacement bike is lower cost, we will refund the difference. If we can’t deliver a bike, then we’ll arrange alternative transport so that you can continue your journey. That may be via car or, if you are in a remote area, by bus to a location where a car is available. This is the limit of our liability and additional items such as accommodation costs, flights, taxi fares, phone calls, interrupted travel plans and missed connections/flights are not included. If you are travelling with others, claims or refunds cannot be made for bikes that are not faulty. It is our greatest priority to get you on the road again and in the vast majority of cases that happens well within 48 hours. In summary, we promise not to leave you stranded!

If you’d like additional peace of mind should a breakdown occur, this low-cost option includes 2 night’s accommodation (to be organised by BikeRoundOz), taxi fares to the hotel, flights for up to two people to take you to another city to collect a replacement bike should we not be able to deliver one within 48 hours and reimbursement of phone calls.
Punctures – we can’t control where the bike is ridden or the surface of the road and so we can’t cover you for punctures. A repair kit is provided and you MUST let us know if you repair the tyre as it won’t be safe for future rentals. The cost of a professional repair or replacement tyre is not covered under any warranty.
Gravel Roads – should you decide to ride on gravel roads then it is your choice to be in a remote area. We will arrange for help but National Breakdown Cover does not extend to gravel roads. Costs to transport the bike and, in addition to the above conditions, any delays resulting from being in a remote area cannot be claimed. Once again we will do our very best to get you going again as quickly as possible!
Unfortunately we can’t control the weather or other natural occurrences during your trip. No doubt we’d have a lot more bookings if we could! We will always do our best to help out and try to urgently rearrange things where they affect your tour but please understand we cannot accept responsibility for any adjustment in cost resulting from changes to your tour as a consequence of natural occurrences, adverse weather conditions, natural disasters, road closures and other issues beyond our control.
It is VERY IMPORTANT that you obtain good quality full travel insurance policy for your trip. You can see an option for travel insurance by clicking here. You should take advice as to the best policy but it should cover cancellation, medical costs including transportation to hospital (flying doctor costs for example), replacement vehicle cover (if a vehicle is written off, for example, and the driver/rider is injured you may wish to continue in a car/4x4/train and repatriation in the event of serious injury or death. BikeRoundOz accepts no responsibility for a customer’s failure to arrange appropriate cover.
Please also note that cover is often void if a helmet is not being worn. We strongly recommend you cover yourself with travel insurance in case of accident and to ensure that if your personal circumstances change and you have to cancel your costs are covered.
Outback and travel on remote gravel roads or tracks can be extremely dangerous unless you are well prepared and know how to deal with difficult situations. Every year tourists find themselves in trouble and some even die due to lack of preparation and knowledge. If you intend to ride on remote gravel roads or tracks then you MUST inform us of your plans.
It may be possible to accommodate your route as some depots specialise in bikes for this type of trip but common outback roads where many depot's bikes are forbidden are: the Savannah Way, Plenty Highway, Great Central Road, Gunbarrel Highway, Gibb River Road, Tanami Track, Oodnadatta Highway, Birdsville Track, Canning Stock Route and any Cape York track. Should your bike break down for ANY reason on gravel roads then you will be responsible for recovery costs. Please request authority before taking bikes on gravel roads. This is for your own protection as unnecessary deaths happen every year. If you choose to ride on outback gravel roads/tracks it's important you understand the sorts of issues that can arise.
Important note: Breaches of any restrictions may invalidate your travel insurance, your rental agreement and your rental insurance.
› Age and experience requirements:
Minimum age and experience restrictions apply. These vary depending on the bike model and pickup location but for most bikes you need to be 25 or over to ride. Some Harley Davidson bikes require you to be 28 or older. From some depots and for some bikes 21 is the minimum age. You will need a full bike license, a passport and credit card when you collect the bike. If you are unsure if you meet the conditions please just ask. BikeRoundOz nor the depot will be held liable for your failure to meet the stated requirements.
For all rentals you must have a valid driving license entitling you to use the vehicle you are intending to hire. An international driving license is also required in non-English language countries, but is not sufficient in itself.
It is a condition of BikeRoundOz that you wear an approved crash helmet when riding a motorcycle. We are usually able to provide helmets locally, but we strongly encourage you to take your own. BikeRoundOz accepts no liability for the condition of any crash helmet provided by a contractor or third party.
Please notify BikeRoundOz of any special requests you may have at the time of booking (e.g., diet, disability). There may be additional charges for any such requests.
When group touring, it is your responsibility to follow any instructions and information issued by the tour leader. When hiring a vehicle, you must obey the restrictions imposed by the Contractor.
As a general rule, you must not leave the country, you must not travel on private roads, and road motorcycles must not be taken off-road, without the prior agreement of the Contractor.
Breaches of any restrictions may invalidate your travel insurance, your rental agreement and your rental insurance.
If for any reason you are dissatisfied with the motorcycle supplied, upon collection, you must report this to the Contractor immediately, and if necessary, to BikeRoundOz. Later complaints will not be accepted.
In the event of an accident (or theft), always report it to the police immediately, obtain a police report number, and notify the Depot/Contractor. The Depot/Contractor will make every effort to provide repair facilities or a replacement motorcycle, but is not obliged to do so.
› Accommodation options and meals:
We don’t promise breakfast but you’ll find that it is available as an option at most accommodations should you wish. We take this approach for two reasons. Firstly, people have a wide range of preferences for breakfast. If we pay extra for a cooked breakfasts every day this puts the tour price up and many clients don't want this type of breakfast every day.
Secondly, Australia has a thriving café culture and the quality of breakfasts and coffee you’ll get from a local café is often much better than you’ll find from a standard hotel or motel. The views or locations may be much nicer too and so many people prefer to take a short walk to a local café than to sit in the hotel dining room and eat the standard fare that many hotels/motels offer.
We try to give you a range of experiences and hence the inclusion of bed and breakfast establishements/motels/hotels/resorts in a typical accommodation list. The best option depends on the particular town. As an example, some places have good bed and breakfast venues but they are a long way from town and this isn’t ideal for evening meals. In this case we look for a better option closer to the town centre and this may be a hotel or motel. In other cases the bed and breakfasts may be so good compared to the town centre options, that we use it anyway and sometimes they can include an evening meal if you e-mail or call them in advance.
As a summary, if the accommodation includes breakfast as standard we include it for you. If they don’t then we don’t. In some places a light continental breakfast is included and many people want more than this. In this case a short walk to a nearby café will often result in a great breakfast and you can eat there knowing that you haven’t paid extra for breakfast at the hotel.
BikeRoundOz, its Agents, Assigns and Contractors accept no responsibility for and shall not be liable in respect of any loss, damage, alterations, delays or changes arising from circumstances outside its or its Contractors' control, such as, but not solely, war or threat of war, riot, industrial dispute, civil strife, fire, adverse weather conditions, terrorist activity, natural and nuclear disaster, technical transport problems, computer malfunction, cancellation of scheduled or charter airlines, closure or congestion of airports or ports, or financial failure of Contractors or depots. BikeRoundOz acts as information and booking resource for riders.
BikeRoundOz may not invoice you or process any transaction and may simply pass on booking information on your behalf. Your contract is with the supplier directly and BikeRoundOz accepts no responsibility for and shall not be liable in respect of any loss or damage whatsoever.
By booking a rental, self guided tour or guided tour you agree that you understand and agree to the indemnity release detailed below which is between you (and any passengers) and RoundOz.com atf the Osborne Trust T/A BikeRoundOz, it's directors, employees or agents (hereafter called The Company).
You must agree that you shall participate entirely at your own risk and that you, your successors, executors and administrators will release, indemnify and not instigate any claim, demand or expense against The Company for any personal injury, loss of life or damage to personal property suffered during or subsequent to events on the rental or tour.
You must acknowledge that any road whether sealed or unsealed, or any other venue upon which you travel, may have sandy or rocky surfaces with defects either hidden or exposed as is the nature of some roads. You must agree to obey and observe all rules and directions given during a tour, whether given in writing or verbally by The Company and that The Company has the right to exclude you from any tour for non-adherence to any rule or direction given.
You must accept that you are permitted to rent a motorcycle or take part in a tour on condition that you ride safely with due care and regard for other people and property.
You must acknowledge that motorcycle riding, whether as a rider or passenger, can be dangerous and that a motorcycle rental or participation in a tour organised and promoted by The Company may expose you to the possibility of injury or death and further, you must acknowledge that the way other people may ride, drive or act is outside the control of The Company.
You must acknowledge that there may be no, or inadequate facilities for treatment or transport of participants if participants are injured. You agree that you understand that travel insurance to cover all forms of personal injury, repatriation or costs in the event of death is essential and it is your responsibility to ensure you have appropriate cover.
You agree to wear appropriate motorcycle safety equipment at all times and that you are medically fit to undertake a motorcycle rental or tour.
You must agree that you have read and understood the indemnity release and agree that the motorcycle rental or participation in a tour whether guided or self guided is entirely at your own risk.
